The Brief
To create a virtual conference platform that allowed breast cancer survivors to connect with academics and medical researchers (within the field) in a manner similar to which they would within a normal, live, conference setting. This not only required an online production element but also a means for distributing event merchandise to participants before the event took place.
The need for this virtual conference style event was due to Covid-19 restrictions meaning delegates were unable to travel domestically at the time of the event. Rather than wait for restrictions to ease (which were undetermined at the time), the virtual conference would allow BCT to hold their event on the date originally attended.
The end goal for the event organisers was to raise awareness not only of breast cancer and advancements within the field, but also encourage survivors of the disease to consider becoming ambassadors for the organisation’s charitable arm and raise funds for future research.
The Design
- Dedicated production team including technical production manager and two event production assistants who oversaw the creation of a detailed run sheet for the day
- TV quality production for all aspects, from graphics to video recordings
- 6 LCD TVs allowing for up to 4 players on each device
- Online green rooms for presenters to prepare in with dedicated event producers
- Interactive elements for participants, MCs and presenters such as FAQ sessions (facilitated by the MCs with the assistance of the production team) and individual break out room
- Custom branded landing platform for when participants first logged on
- ‘Goody Bags’ which included branded Keep Cups and USBs that were delivered to the participants preferred address the week before the event
Key Features
The main key feature of the event was the seamless interchange between each element of the production run sheet; from MCs welcoming the event presenters to facilitating the questions of participants at the end of each session, each transition was designed to flow without technical interruption.
This was strengthened by the development of specialised network servers throughout different geographical locations within Australia that ensured seamless, fast and reliable access to the internet throughout the duration of the event. Having these separate servers ensured that should there be any potential disruption to the internet connection, the conference platform would continue to be supported without the outward presentation being effected.
